office manager

VBE Restorations is a small family-run business situated in a rural location. We specialise in the high-end restoration of vintage cars for international clientele. We are looking for an Office Manager with engineering experience to run the office and work closely with the Managing Director.

This is a varied role, to suit an individual able to work under their own initiative. An exciting opportunity to form part of a close-knit team working on some of the most desirable and historic vehicles in the world.

The role will predominantly consist of

  • SAGE entry / monitoring including maintenance of sales and purchase ledger (payment runs, monthly reconciliation, quarterly VAT Return and Assisting with Year End consolidation with Accountants).
  • Production of invoices using in-house Excel system (intermediate knowledge of Excel required).
  • Payroll – monthly wage submission to Accountants and maintenance of new starter packs, holiday entitlement, quarterly SAGE payroll logging, sickness monitoring, recruitment and HR matters.
  • PA / secretarial duties for Managing Director including answering phone and monitoring of emails, minute-keeping, diary co-ordination.
  • Parts and consumable ordering via workshop or Managing Director (must be consolidated to Account ledgers).

Other tasks include

  • Dealing with Customs and Excise regarding the import and export of parts and vehicles.
  • Liaising with courier regarding sending and receiving packages.
  • Health and Safety – risk assessments, general fire and health and safety monitoring, first aider compliance, in-house training documentation, PAT testing, fire extinguisher and workshop machinery inspection certificates.
  • Website maintenance and/or social media engagement.

 

Candidate should have prior PA capability and experience with using SAGE Accounts.
